Dear all,
In the past weeks, you all are starting to approach client individually and several projects onhand to be followed up.
Your hard work was highly appreciated and I feel very happy about what you have achieved as well as I feel very proud of your growth.
I found during the communication, you may wonder or district by other topics or even forget your initial target.
So before you start your communication, it would be better if you could think through the process and answer the following questions:
1. What's the goal / aim / target for the communication this time?
- Is it clear enough?
- Is it specific?
- Is it reasonable?
2. What is the possible response from the team/client?
- What's the key points the client/team care about? the advantage and the disadvantage?
- Did my preparation could meet their expectation or lead them to the direction I expected? What should I do to get prepared?
- What's his or her feeling if I asked such question?
- How could I ask to get the answer I want? the advantage and the disadvantage?
Any thing else need to be considered?
Could I use a group of questions to get the answer if I couldn't shoot in the heart with only one question? What's the questions?
What kind of questions will be asked if I were Rachel/Charles/Hemin/Client?
3. When you go through all the question you prepared during the communication, ask yourself have I got all the answers / the feedback(including feelings) I expected? What are these?
You could have sum up for all the communication, List all the answers you got and confirm with client / team members and share with them:
Based on the discussion, I come up with the following aspects, and following action will be..., do you have any complementation?
4. After communication, issue the official summary to reinforce what you have discussed and the responsibility / the timeline for the following actions by covering the following elements:
- Background and topic
- What have been considered(competitors, scope of work, schedule, resource, advantage, disadvantage, relationship with client, etc.)
- The expected result with 2 or 3 options and which one you prefer with the reason.
- The support need from top management side(from the OP/client side or team side should be communicated before you issue the email)
